At a glance
Connect the receiving record to a unique asset identifier, responsible person or department, location, and purchase information. Keep movements and service events current, and have finance determine the applicable accounting treatment.
Confirm what arrived
Match the delivery to the order and document quantity, condition, and any discrepancy. Receiving is the point where purchasing information becomes a record of the physical item.
Give the item a reliable identity
Record a unique asset identifier, serial number where available, description, receipt date, and link to the purchase record. Add a tag when appropriate. Consistent identifiers make later moves and service events easier to follow.
Connect people, location, and funding
Keep the assigned department or custodian, location, original cost, and relevant funding references together. Record changes when equipment moves rather than relying on the original delivery location.
Separate tracking from accounting treatment
An item may be worth tracking even if it is not depreciated. Finance staff should determine capitalization and depreciation treatment using applicable policy. Where depreciation applies, maintain the approved method, useful life, in-service date, and book-value information. Book value is an accounting amount; it is not necessarily resale or replacement value.
Plan the next event
Link warranty and service details, record condition changes, and schedule appropriate inventory reviews. When an item is replaced, transferred, or disposed of, retain the approval and update its status. A useful record explains both where an item is and what happened to it.
