A Little Help at Handoff

Facilities directors · Facilities teams · Custodial teams · Updated 2026-10-23

Illustrative school facilities colleagues sharing a clipboard labeled For the next shift beside a school hallway.

Free handoff sheets for school facilities and custodial teams, with a worked example, open-item follow-up page, and welcome-back note.

You know your building, your team, and the little details that keep the day moving. When someone covers a shift or picks up a task, this free five-page kit offers a place to leave the few things they might otherwise have to track down.

Use what fits your existing process

Borrow a page for planned coverage, a shift change, or a return from leave. If your work-order system already handles handoffs well, these prompts can live there instead. There is no need to keep a second set of maintenance records.

An example to borrow

A fictional school room-booking change shows how a short note can connect the latest plan, the next action, the colleague taking it on, and the person expecting an update.

Reusable pages for your team

The essentials sheet brings together what is different today, what is already taken care of, what happens next, and who needs an update. An optional open-item page adds space for an approved temporary arrangement, review time, dependencies, and the appropriate contact if plans change.

The welcome-back note gives a returning colleague a quick picture of what changed, what is complete, and what is still open. Keep the parts that help and leave out the rest.

A place for coordination

Use your existing urgent-reporting, access, and safety procedures. This kit does not authorize repairs, change equipment status, or replace required handover records. Keep keys, access codes, and confidential details in approved systems.

Background reading

General handover communication guidance from the UK Health and Safety Executive informed this original Commerce Street Cares kit. It is not a school-specific standard or an HSE-endorsed form.
