A six-page kit with a worked recurring-issue timeline, clearer reporting examples, issue summary, repeat-event log, warranty check, and follow-up record.
Practical ideas and free resources for the people who serve our communities.
When the same issue returns, the next person responding needs the earlier history. This free six-page kit helps K-12 facilities teams connect observations, previous work orders, authorized actions, and follow-up results.
Follow one issue through time
A fictional classroom lighting example follows an initial report, a recorded service action, a later recurrence, and a planned follow-up. It shows why a symptom not appearing during one check does not establish a lasting resolution. All dates, references, and events are illustrative.
Write notes the next person can use
Before-and-after examples distinguish what someone reported, what staff directly observed, and what qualified personnel assessed. Timing can provide useful context without establishing the cause of a problem.
Keep the records connected
The issue summary holds the key references. The repeat-event log adds dated observations, work-order links, actions, results, and follow-up ownership without overwriting earlier entries. Keep technical findings and detailed service records in your district’s existing system.
Check warranty or service coverage
Review coverage dates, whether the reported issue is covered, the claim contact and notice deadline, and any authorized-service requirements. Name who will confirm the terms before further work is arranged. Do not assume coverage or delay urgent reporting while checking paperwork.
Make the next check specific
Use the follow-up page to agree on an appropriate check with responsible qualified staff, record its actual result, and identify the next action or official closure decision. Use “not checked” when no check happened and “not reproduced during this check” when that is what the evidence shows.
This is an original Commerce Street Cares coordination tool, not an inspection, repair procedure, or safety clearance. Follow district reporting and escalation procedures immediately for urgent concerns. Keep sensitive building information in approved systems.
