Practical ideas and free resources for the people who serve our communities.

A budget explanation should give readers a clear account of the change and what happens next. This six-page kit helps K–12 business managers, communications teams, and district leaders prepare a plain-language update from verified information.

Start with the comparison

Name the budget period, scope, and versions being compared. The fact sheet records the earlier and revised amounts, the calculation, and the dated source. Separate a change in price from a change in quantities, scope, or timing.

See a worked example

A fictional annual supplies-and-delivery estimate moves from $85,000 to $100,000. The kit shows the $15,000 difference, the 17.6% calculation, and how to explain what that percentage covers. A before-and-after paragraph demonstrates clearer wording without presenting an estimate as an approved spending change.

Explain the practical effect

Use the community-update template to describe verified effects, label estimates and proposals, and identify what remains unknown. Add an owner and a date for the next update. The prompts help teams prepare for questions about services, funding, reuse, and decision-making.

Review and follow through

The release checklist covers calculations, source links, decision status, readability, access needs, and district review. It also records the release owner, next update, and correction process. The suggested 30-minute session is for drafting; allow separate time for district review and approval.

Download the kit for the worked example, fact sheet, update template, question prompts, and release checklist. These are original planning tools with fictional examples, to use alongside your district’s established processes.
