Practical ideas and free resources for the people who serve our communities.

What changed since you built your school budget? An enrollment estimate, an updated benefits quote, or a change in funding timing can leave an earlier assumption needing another look. This free five-page kit helps school business teams prepare for that conversation.

What is inside

A worked enrollment example follows a fictional change from 500 to 525 students through supplies, staffing, and transportation questions. The example distinguishes a scenario from an approved decision.

Six school-specific review areas cover enrollment, vacancies and benefits, utilities, transportation, special education services, and funding amounts and timing. Each offers information to check and suggested department partners.

A guided working sheet records the original assumption, new evidence, potential effect, owner, review trigger, and next action. A 15-minute meeting guide helps the team turn that information into clear follow-up.

Start with one important estimate

Bring your current budget version and its supporting source. Choose an assumption that has changed, remains uncertain, or affects a near-term decision. Record what supports it, who will check it, and when to revisit it.

Keep the status clear

Use supported, provisional, or awaiting evidence to describe the information. These labels do not mean a budget change is approved. Keep detailed records in district systems, and leave student-identifying information out of the worksheet.

Use this kit alongside your district’s financial model, approval process, and professional guidance. The example is fictional; no spending or staffing change is authorized by this resource.
